Event transportation is a timing problem disguised as a car booking. At a gala, an award show or a private party, a hundred guests try to arrive in the same twenty minutes and leave in the same ten. Venues control their drop-off lanes, security checks names at the curb, and the street outside fills with cars that all look the same. The guests who arrive calmly are the ones whose car was planned around all of that.

Elly8.net books event transportation in 141 cities: single cars for a guest of honour, multiple vehicles for a host's table, and Sprinter shuttles that move guests between hotels and the venue. The evening out and event night package is published on every city page, from US$425 in a business sedan in cities such as Barcelona and is US$550 in Toronto, with New York, Los Angeles and London at US$525 and an Executive Sprinter for twelve at US$1,050.

How does event transportation work for a gala or awards night?

The desk plans each vehicle around the venue's arrival window and drop-off point, sends chauffeurs early to stage near the venue, times guest pickups so arrivals are spread out, and holds the cars nearby during the event for a prompt pickup at the agreed exit. Each vehicle is a fixed, all-in price booked in advance.

The most important input is the venue's own instructions. Gala hosts and award shows usually send guests an arrival window, a drop-off address that is not always the front door, and rules about where cars may wait. Forward them with the booking and the chauffeur works to them exactly.

Planning arrivals: windows, staggering and the red carpet

Red carpets and gala entrances work in sequence. Hosts often want certain guests to arrive at a certain time, a few minutes apart, and the cars to clear the drop-off lane immediately. To do that, the desk works backwards from the arrival time: the realistic drive from each hotel at that hour, plus a buffer, plus the time the queue of cars takes to reach the curb on event nights.

For a single principal, the chauffeur stages a few minutes away and moves in when the window opens. For a host table of several couples, cars leave the hotel at intervals so they arrive in order rather than in a cluster. For large private events, Sprinter shuttles run a loop between one or two hotels and the venue, with the first run timed for the doors and the last for the end of the night.

At the end of the evening, guests leave together. The chauffeur agrees an exit and a message signal with the guest or the host's coordinator, holds as close as the venue allows, and moves in on the message. That beats searching a line of identical black cars in evening clothes.

Security checks, guest lists and the curb

High-profile events run security at the curb. Some venues ask hosts for the names of chauffeurs and the vehicles arriving; others check guests' names at a perimeter before the car reaches the carpet; a few close the street entirely and walk guests the last stretch. The chauffeur's name and vehicle details are sent with the confirmation before the evening, so a host or a security team that needs them in advance can have them.

Tell the desk if the event has any of the following, because each changes the plan:

  • A perimeter or screening point before the drop-off, which adds time and sometimes requires guests to leave the car early.
  • A separate VIP or talent entrance, which needs its own timing and a different waiting area.
  • A strict departure order, common at award shows where hosts or honourees leave first.
  • Weather plans, such as a covered arrival at a different door if it rains.

Chauffeurs follow venue staff and police instructions at the curb without argument, and keep the host's coordinator informed when plans change. Where a guest needs protective security, that is for a licensed security provider working with the host; Elly8.net provides the car and chauffeur, not security personnel.

Vehicles for events

  • First Class Sedan or SUV for guests of honour, speakers and couples: S-Class or 7 Series, Escalade or Navigator in North America, V-Class VIP or Range Rover in Europe.
  • Rolls-Royce or Mercedes-Maybach for the arrival that is part of the occasion, booked in the web booker; these cars are seven model years old or newer.
  • Business SUV for small groups of up to six with coats and bags.
  • Executive Sprinter for guest shuttles of up to 12, or a Jet Sprinter with captain's chairs for six.
  • Stretch limousines and stretch SUVs for celebrations, through the web booker. See limousine service.

Partner vehicles are four model years old or newer. The fleet page has photographs and interiors.

For events with a long or uncertain end, such as a wedding or a multi-venue evening, book by the hour instead, at US$85 to US$115 an hour for a business sedan and US$170 to US$230 for an Executive Sprinter, with a 3-hour minimum. Tolls and parking are billed at cost. Guests flying in are met at the airport on the airport transfer price list; see airport transfers.

Award seasons and festival weeks

Some weeks of the year turn a city into one long event, and the cars go first.

Los Angeles in awards season. The 2026 Academy Awards were held at the Dolby Theatre at Ovation Hollywood, and the parties and screenings around awards weekends spread across Hollywood, Beverly Hills and West Hollywood. Book early: the roads around the theatre are at their busiest on ceremony day. LAX to Beverly Hills is US$170 in a business sedan; Van Nuys for private flights is US$200.

Cannes during the film festival. The 80th Festival de Cannes is scheduled for May 11-22, 2027, with screenings and red carpets at the Palais des Festivals on La Croisette. Nice airport to La Croisette is US$190 in a business sedan, and Cannes-Mandelieu, for private flights, is US$115. Cars and chauffeurs for the festival fortnight are booked months ahead.

New York gala season. Museum benefits, foundation dinners and the fashion calendar fill Midtown and the Upper East Side, and venues such as Lincoln Center host galas through the season. Arrival lanes on Fifth Avenue and around Columbus Circle back up quickly; staggered pickups matter more here than anywhere.

London. Award ceremonies, charity balls and receptions at the Royal Albert Hall, the West End and the Park Lane hotels. Heathrow to Mayfair is US$195, and London City Airport US$155.

Monaco and the Riviera. Galas in Monte-Carlo cluster around the sporting and yachting calendar. Nice to Monte-Carlo is US$220 in a business sedan.

Corporate events and private parties

Corporate event transportation is the same craft at a larger scale: an awards dinner for a sales team, a product launch, a client reception, a holiday party. The desk schedules several vehicles against one arrival list, mixing First Class Sedans for executives and Sprinters for the team, and invoices it as a single event on a corporate account. For multi-day conferences with airport waves and hotel shuttles, see conference transportation.

Private parties, milestone birthdays and anniversaries follow the same rules on a smaller scale. A party bus or a stretch SUV keeps a group together; see party bus rental with driver. Weddings have their own page: wedding limousine and wedding guest shuttles.

Event transportation vs rideshare at the end of the night

Arriving by rideshare usually works. Leaving is the problem. When a gala or show ends, hundreds of requests hit the same few blocks at once, dynamic pricing rises, cars cannot reach the curb, and guests in evening clothes walk to find them. Taxis are scarce on event streets for the same reason. A booked car with a chauffeur holding nearby turns that into a short wait at an agreed exit, and the price was fixed before the evening started. For a quick dinner for two on a normal night, a taxi is fine; for an event, the booked car is the reliable choice.

Booking event transportation in three steps

  1. Enter the pickup address and the event address with the arrival time, and attach or paste the venue's arrival instructions in the notes. For several guests, list each pickup.
  2. Choose the vehicles: the evening out package on the city price list, hourly bookings, or celebration vehicles in the web booker.
  3. Reserve now on the price list or complete the web booker. Confirmation arrives by email, with chauffeur details before the evening.

Cancellation terms are the same for every booking: free more than 72 hours before pickup; 10% within 72 hours; 50% within 48 hours; 100% within 24 hours or for a no-show. Refunds go back to the original card.

Frequently asked questions

How much does event transportation cost?

The evening out and event night package starts at US$425 in a business sedan in cities such as Barcelona and is US$550 in Toronto, with New York, Los Angeles and London at US$525. In New York and London a First Class Sedan is US$850 and an Executive Sprinter US$1,050. Prices are per vehicle and all-in; tolls and parking are billed at cost.

How early should the car arrive for a red carpet?

The chauffeur stages near the venue before the arrival window opens and moves in when it does. The desk works backwards from the arrival time using the realistic drive at that hour and the queue of cars that builds on event nights. Send the venue's arrival instructions with the booking so the plan fits them.

Can several guests arrive in sequence?

Yes. List each guest's pickup and the arrival order, and the desk staggers the departures so cars reach the drop-off a few minutes apart. Several vehicles can be booked on one manifest and invoiced together on a corporate or hotel account.

Where does the chauffeur wait during the event?

As close to the venue as its rules and the local parking rules allow, usually a few blocks away on event nights. The guest or coordinator sends a message when leaving, and the chauffeur moves to the agreed exit. Your coats and bags can stay in the locked vehicle.

Can a Rolls-Royce or Maybach be booked for an arrival?

Yes, through the web booker, subject to availability for the date. These cars seat two in comfort and are seven model years old or newer. For a group, pair one with a Sprinter or SUV for the rest of the party.

How far ahead should cars be booked for festival weeks?

As soon as the dates are fixed. Award weekends in Los Angeles, the Cannes film festival and gala nights in New York and London book out first, especially First Class SUVs, Sprinters and celebration cars. Cancellation is free more than 72 hours before pickup.

What is the cancellation policy?

Free more than 72 hours before pickup; 10% within 72 hours; 50% within 48 hours; 100% within 24 hours or for a no-show. Refunds go back to the original card.
