Conference and trade show transportation is about one week when everyone in an industry arrives in the same city at the same time. Airport queues triple, hotel driveways back up, rideshare prices spike when the halls close, and the convention centre's own pickup zones are a long walk from the doors you came out of. Teams that book their ground transport early, and plan it around the show, spend that week in meetings rather than in lines.
Elly8.net books conference transportation in 141 cities: airport arrivals in waves, hotel-to-venue Sprinter shuttles, a car on call for executives, and evening cars for client dinners. Prices are fixed and all-in per vehicle. Harry Reid airport to the Las Vegas Strip is US$125 in a business sedan and US$325 in an Executive Sprinter; Barcelona airport to Passeig de Gracia is US$105 and US$275; SFO to Union Square is US$180 and US$470.
How should a company plan transportation for a trade show?
Book early, as soon as the team's flights are known. Group airport arrivals into waves with Sprinters, book hotel-to-venue shuttles timed to opening and closing, keep one car by the hour for executives and client meetings, and reserve evening cars for dinners. Fixed prices booked in advance avoid show-week surge pricing.
The single most useful thing a team can do is send the desk the flight list and the hotel list together. From those, we group arrivals, choose vehicle sizes and see where a Sprinter replaces three sedans. The second most useful thing is the show's own schedule: opening hours, keynote times and the evening events your team will attend.
The big shows and what they do to a city
CES, Las Vegas. The next CES runs January 6-9, 2027 in Las Vegas, spread across the Las Vegas Convention Center, which the LVCVA owns and operates, and resort venues along the Strip. During the show, the drive between venues is often slower than walking, taxi and rideshare lines at the halls are long at closing, and Harry Reid airport is at its busiest on the days before and after. Book the airport legs at US$125 in a business sedan or US$165 in an SUV, and an hourly car at US$95 an hour for the executive who moves between suites and meetings.
MWC Barcelona. MWC Barcelona 2027 runs March 1-4, 2027 at Fira Gran Via in L'Hospitalet de Llobregat, operated by Fira de Barcelona. Fira Gran Via sits between the airport and the city, so hotels on Passeig de Gracia and the seafront mean a daily commute in both directions. Barcelona airport to Passeig de Gracia is US$105 in a business sedan, an hourly car is US$85, and a corporate roadshow day for back-to-back partner meetings is US$765.
Dreamforce, San Francisco. Salesforce has announced Dreamforce for September 21-23, 2027 in San Francisco. The city's Moscone Center district and the hotels around Union Square and SoMa fill up in big convention weeks, and traffic around the venue slows to a crawl at opening and closing. SFO to Union Square is US$180 in a business sedan; for teams staying further out, in San Jose and Silicon Valley, see the San Jose page.
Healthcare, technology and industry shows. Large association meetings and healthcare IT conferences, such as the HIMSS global conference, move between host cities from year to year, so check the organiser's announced city before planning. The pattern is the same wherever they land: airport waves, hotel shuttles, client dinners.
Chicago, New York, Los Angeles and Toronto. McCormick Place in Chicago describes itself as the largest convention facility on the continent, and its calendar of trade shows runs through the year; O'Hare to the Loop is US$215 and Midway US$160. New York's Javits Center, the Los Angeles Convention Center and Toronto's convention centre on Front Street run full calendars of their own.
Airport arrivals in waves
On show week, a team of twenty may arrive on eight flights across a day. Booking twenty separate cars is expensive; booking one coach leaves people waiting for hours. The middle path is waves: the desk groups flights that land within an hour or so of each other at the same airport, sends an Executive Sprinter for twelve with twelve bags or a Business SUV for six, and sends single sedans for the outliers and the executives.
Every airport pickup is flight-tracked, with a chauffeur in arrivals holding a board with the company name, and complimentary waiting after a tracked landing. If a flight in the wave is delayed, the desk decides whether to hold the vehicle or split the group, and tells the team lead.
Hotel and venue shuttles
For teams staying in one or two hotels, a Sprinter shuttle timed to the show's hours is the most efficient booking: a morning run before the doors open, a midday run for booth changeovers, and evening runs at closing. Because the vehicle is booked by the hour, the schedule can follow the show rather than a fixed timetable.
| Booking | Las Vegas (CES) | Barcelona (MWC) | San Francisco | Chicago |
|---|---|---|---|---|
| Airport to hotel, Business Sedan | US$125 | US$105 | US$180 | US$215 (O'Hare) |
| Airport to hotel, Executive Sprinter | US$325 | US$275 | US$470 | US$560 (O'Hare) |
| By the hour, Business Sedan | US$95 | US$85 | US$100 | US$100 |
| By the hour, Executive Sprinter | US$190 | US$170 | US$200 | US$200 |
| Corporate roadshow day, Business Sedan | US$855 | US$765 | US$900 | US$900 |
| Evening out and event night, Business Sedan | US$475 | US$425 | US$500 | US$500 |
All prices are per vehicle, fixed and all-in; hourly bookings have a 3-hour minimum. Tolls and parking are billed at cost. Convention centres set their own vehicle rules during big shows, including where pre-booked cars may stop, and chauffeurs follow them.
Build days, booth teams and tear-down
The busiest transport days of a trade show are often not the show days. Booth staff arrive two or three days early for the build, work long hours in the halls and leave late on the last night after tear-down. They also carry things that do not fit in a sedan: sample cases, banner tubes, laptops and monitors for demo stations.
For build and tear-down days, an Executive Sprinter booked by the hour is usually the right vehicle. It carries up to 12 people and 12 bags, waits at the service entrance or the hall pickup zone the venue designates, and makes as many hotel runs as the day needs. Put the dimensions of anything unusual in the booking notes; a pallet of freight belongs with the show's official freight contractor, but a few cases of samples and a banner tube travel well in a Sprinter.
A planning timeline for show week
- As soon as the team is confirmed. Send the desk the dates, the hotels and a rough headcount. For CES and MWC, this is often in the autumn before the show.
- When flights are booked. Send the flight list. The desk groups arrivals into waves and books the vehicles.
- Two to three weeks out. Confirm the hotel shuttle schedule against the show hours and the team's meeting calendar, and book evening cars for client dinners.
- The week before. Final changes to names and flights; the desk sends the team lead a schedule of every pickup.
- During the show. One contact on the team messages the desk with changes; the desk moves vehicles and confirms.
- Last day. Departures in waves again, timed to check-out and flight times rather than to the end of the show.
Executives, speakers and client dinners
Senior people at a conference have a different day from the booth team: a keynote, a run of private meetings in hotel suites, a press interview, a dinner. For them, an hourly car or a corporate roadshow day keeps one chauffeur available all day. See executive car service for first-class vehicles and briefed chauffeurs, and roadshow chauffeur for back-to-back meeting days.
Client dinners and receptions are where show-week transport usually fails. At 7 pm, everyone leaves the halls at once. A booked evening car, or a Sprinter for the whole table, collects the group at an agreed hotel entrance and returns them at the end of the night. See event transportation for how evening arrivals are planned.
Conference transportation vs taxis, rideshare and show shuttles
Many large shows run free shuttle buses between official hotels and the venue, and for an attendee staying at an official hotel with no fixed meetings, the show shuttle is a perfectly good choice. Taxis and rideshare work in the quiet hours. The problems come at the edges of the day, when the halls open and close: taxi lines grow, rideshare prices rise with demand, and pickup zones fill. A pre-booked car or Sprinter has a time, a chauffeur and a fixed price, which is what a team with meetings to keep needs. For a deeper comparison, see chauffeur vs Uber and Lyft.
Booking show-week transportation in three steps
- Send the flight list, the hotel list and the show schedule, or enter each pickup in the booker with flight numbers.
- Choose the vehicles: sedans and SUVs for individuals, Executive Sprinters for waves and shuttles, an hourly car for executives.
- Reserve on the city price lists or through the web booker. Confirmation arrives by email, and chauffeur details follow before each pickup.
On a corporate account, the whole show is invoiced together with the event code. Cancellation terms are the same for every booking: free more than 72 hours before pickup; 10% within 72 hours; 50% within 48 hours; 100% within 24 hours or for a no-show. Refunds go back to the original card. Book early: cancellation is free until 72 hours out, and vehicles for the big shows go first.

Frequently asked questions
How much does conference transportation cost?
It depends on the mix. Airport transfers start at US$105 in Barcelona and US$125 in Las Vegas in a business sedan, with Executive Sprinters for twelve at US$275 and US$325. Hourly cars are US$85 to US$115 an hour for a business sedan depending on the city, with a 3-hour minimum. All prices are per vehicle and all-in.
When are CES, MWC and Dreamforce?
CES 2027 runs January 6-9, 2027 in Las Vegas. MWC Barcelona 2027 runs March 1-4, 2027 at Fira Gran Via. Dreamforce is announced for September 21-23, 2027 in San Francisco. Check the organisers' sites for changes, and book ground transport as soon as your team's travel is confirmed.
How far ahead should show-week cars be booked?
As soon as flights and hotels are confirmed, often months ahead for CES and MWC. Sprinters and SUVs are the first vehicles to sell out in show weeks. Cancellation is free more than 72 hours before pickup, so early booking carries little risk.
Can one booking cover a whole team?
Yes. Send the flight and hotel lists and the desk groups arrivals into waves, assigns Sprinters, SUVs and sedans, and books hotel shuttles and evening cars. On a corporate account, everything is invoiced together with the event code.
Where do chauffeurs pick up at the convention centre?
Wherever the venue allows pre-booked cars during the show, which can change from year to year and even from day to day. The chauffeur confirms the pickup point by message, and for shuttles the desk agrees a fixed hotel entrance and meeting time with the team lead.
Is the show's free shuttle a better option?
For attendees at official hotels without fixed meetings, the show shuttle is a sensible choice. A booked car or Sprinter is better for teams with meeting schedules, executives, client dinners, hotels off the shuttle routes and anyone who needs to leave at a set time.
What is the cancellation policy?
Free more than 72 hours before pickup; 10% within 72 hours; 50% within 48 hours; 100% within 24 hours or for a no-show. Refunds go back to the original card.
